Role

Main Purpose of the job:

To deliver high standards of fleet administration and materials procurement to support in operational efficiency


Summary of Responsibilities and Personal Duties:

Scheduling routine maintenance, tracking MOTs, ensuring repairs are done, and keeping vehicles compliant with transport legislation.?

Maintaining accurate records for vehicle usage, driver information, and related paperwork.?

Liaising with drivers, providing support for their daily operations, and managing driver documentation.?

Monitoring and reporting on fleet costs, including fuel, maintenance, and insurance.?

Preparing fleet trackers and driver reports for management.?

Working with vehicle providers, maintenance contractors, and other suppliers to obtain quotes and manage services.?

Oversee and maintain accurate van stock levels of parts, tools, and consumables held in company vehicles to ensure operational readiness and minimize downtime.

Tracking and processing daily materials purchases by our DLO

Support the procurement team with general administrative and coordination tasks.

Internal Contacts: Managers and Supervisors within the Housing and Property Service; colleagues throughout the council.

External Contacts: contractor�s and other external agencies.

To carry out the duties of the post with due regard to the Council�s relevant codes and procedures.

All employees are required to participate in the Council�s appraisal system and to undertake appropriate training and development identified to enhance their work.

Undertake other duties, commensurate with the grade, as may reasonably be required.

Consideration will be given to restructuring the duties of this post for a disabled postholder.

Strong organisational and administrative skills.

Proficiency in Microsoft Office (Word, Excel, Outlook).

Effective communication and stakeholder engagement.

Ability to work independently and with attention to detail.

Skills: Good verbal and written communication skills for liaising with drivers, customers, and other departments

Professional Qualification and Education: Intermediate knowledge of Microsoft Office (Word, Excel, Outlook) for reports and data management.?
